Use this when you sell ongoing business coaching support rather than a one-time strategy call or fixed program. Retainer-style coaching usually gives the customer recurring access to you, group calls, office hours, async support, resource libraries, reviews, or planning sessions. Newie can manage the recurring billing, agreed terms, receipts, and customer record while delivery happens in your normal tools.

What the Coach Needs

A retainer only works when the customer understands what is included each month. You need a recurring payment setup, but also need boundaries around calls, async support, response times, resources, unused access, and cancellation. Use Newie to make the commercial arrangement clear before the customer subscribes.

Common Setup

  1. Create a Subscription for monthly coaching, advisory support, group access, office hours, or async support
  2. Use Terms of Service for minimum terms, included access, cancellation notice, response times, scope boundaries, and refund rules
  3. Use a Setup Fee when the customer should pay an onboarding, audit, setup, or first-session amount immediately
  4. Use Billing Start Date when the customer buys now but the retainer should begin later
  5. Use Welcome Emails for onboarding questionnaires, calendar links, community links, portal links, and first-month expectations
  6. Use custom pricing or custom start dates when one customer needs a tailored retainer without creating a new public offer

Retainer Sale Flow

1

Confirm the retainer fit

Explain the recurring support model, included access, expected outcomes, minimum term, and payment schedule.
2

Share the Newie subscription

Send the standard service link, a custom price/start date link, or complete the sale with Purchase as Customer where available.
3

Customer agrees and subscribes

Terms of Service can capture the retainer scope, minimum term, cancellation rules, and payment expectations before checkout.
4

Customer receives onboarding

The Welcome Email can include booking links, intake forms, community access, shared-folder links, and first steps.
5

Deliver through your normal tools

Calls, community access, voice notes, reviews, and support can happen outside Newie while billing stays in Newie.

Retainer Terms to Define

  • Included calls, office hours, reviews, or group sessions
  • Whether async support is included and expected response times
  • Minimum term or cancellation notice
  • Whether unused calls, hours, or access roll over
  • What work is out of scope or charged separately
  • Whether onboarding, audit, or setup work is billed as a Setup Fee
